ROYC in Motion: September 2026
How Fund Operations Teams Process Documents Today
Each time a quarterly report comes in, someone has to open it, identify what type of document it is, match it to the right investor and enter the figures into a portal by hand. Repeated several times a day, this takes hours, and every manual entry adds a risk of error.
ROYC starts from a different premise: the system should recognise the document, not the operator.
Automatic Document Recognition
When a file is uploaded, the platform identifies its type automatically, without the operator first picking it from a dropdown. It recognises quarterly and monthly reports, financial statements, contract notes, order confirmations, dividend notices, investor account statements, capital calls and distributions.
Spreadsheets are identified from their structure, while PDFs are classified using an AI model. If the platform is unsure, it asks the operator instead of making a guess.
Checked Against the Source, Then Sent
After classification, the key fields are extracted and pre-populated, displayed alongside a live view of the original document. The operator compares the two, confirms or adjusts the data directly, chooses the recipients, checks a preview of what the investor will receive and sends it.
The operator's input always takes precedence over the model. Instead of typing data in, the team's role becomes checking it, and mistakes are spotted against the original document before an investor sees them.
One Process, No Matter the Channel
Whether documents come through a REST API, an SFTP connection with a custodian or fund administrator, or a manual upload, they all follow the same path: one classification step, one review screen and one audit trail.
There is no separate set of rules for automated feeds and another for an attachment emailed by an administrator late on a Friday.
Built for Scale
Because documents are classified and their data extracted in seconds instead of minutes, reporting cycles become shorter. New joiners in the operations team also no longer have to learn which template matches each type of document.
With ROYC, a growing number of investors and higher AUM no longer translate into a proportional rise in manual data entry.
